  • Issue repoeted from CAS: Fast ADC for MCP in SASE3 duplicates data in the 3 % of cases. DAQ is not responsible. Tests have to be made and for that the ADC servers have to undergo to short interruptions. Will be coordinated with XPD. Should not be e problem. CAS to follow the issue up.

  • Oil cans in and outside SPB rackroom should be removed. A proper cabinet has been requested to TS but it is not yet ready since exhaust lines are needed.
  • Patch cables in the racks should be limited to the very necessary amount since there the material storage is not allowed . TS can help finding space for this material in the hall..
  • Schedule changes for the Summer shutdown due to modification of the interlock systems. Additional meetings needed. No info is expected before the beginning of May.

  • Support for chillers. Contact people by TS are T. Bartsch and P. Schmidt. They can support concerning issues and problems with chillers for the day to day operation. LKersting supports that. For bigger project, a specific request should be made to LK.

The Karabo device is adapted to switch between the present mode and conditional trigger from Karabo (although some issue were identified). The X2Timer configuration still need adjustment, BF is on it.

  • On Monday at around 12:20 there was a power glitch at least in Hamburg, affecting the machine.
  • In this cause, the startup was delayed due to a missing signal from the Vacuum EPS-MPS-interface. The signal had to be manually enabled again.
  • Tuning is estimated to take until 14:00 today.
  • In the wake of such events a lot of communication about the machine status is happening. In the future, XO will ensure the readiness mailing list will be updated, too. In this respect, P. Gessler suggested to rethink / rename the multitude of mailing lists inherited from the construction phase.

FXE

  • There are concerns about the replacement of the simple motor with the MC2 library, in particular about whether all functionalities will still be available (e.g. step-up/down). According to EEE this should be okay. CAS has already release the new library for testing.

SPB/SFX

  • Hexapods are being integrated. ==> This was rescheduled due to the issues with hexapods at HED and MID. Currently, there is no dire need to integrate the SPB/SFX hexapod, it can be run from TwinCAT.

SCS

  • There is an issue with the main sample stage. SCS and SEC are working on it, will continue with commissioning the instrument.

SQS

  • Loop 14 will be updated today.

MID

  • DPS turbo pump issue. A software workaround exists. The problem is that the used controller has not been commissioned firmwarewise before. This is not a showstopper and wil be addressed later. ==> The cabling is done differently. EEE is testing the device + firmware.

HED

  • Loop 13 has been commissioned.

  • There was an issue with a drift of the HED mirror. As a consequence, VAC and XRO have switched of the mirror cooling. HED and MID should report about the change of the situation.

  • The primary door of the HED experiment is currently not guarded with a magnet against incidential opening of the door leading to a trip of the machine. KWitt has to redo some cabling, until then, users can set the laser interlock, which will engage the magnet.

  • AGIPD motion. Prelminary tests are being performed to be ready for the final tests in the march shutdown. Still planned.

  • When operating the machine in the train pattern (not  10 Hz) mode and pulse on demand mode the data from the XGMs in XTD10 and SCS is not recorded. ==> That's still the case and it is caused by a Doocs update not agreed with CAS.

MID

  • Issue with the remote control of the ion pumps.MID OPT now ok. MID exp being implemented (waiting for some HW + Support from CY). Basically understood. Will be implemented in agreement with the instrument (requires access + fixed cables)
  • Smaract stages do not work propery and reliably. High priority. Has to be clarified with AE since it is not clear whether this is the same issue that SCS had and for whoch they developed a workaround.

HED

  • Cables for the experiment hutch are being installed but some quality issues occured. Last pallets of cables have been sent back for proper confectioning. It is possible that there will be some delays. KA will discuss with LW how to prioritize cables to eventually minimize the impact on the commissioning. ==> Quality issues are being addressed. The company increased the manpower for cable confectioning and installation. KS prepared a list of priorities. AE informs that they will be probably able only to provide fw for loops 5 and 7 by the end of March (collision with many shutdown activities). PG will send details to KA. This will eventually require a decision concerning priorities.  Ongoing. ==> There will be a dedicated meeting after this one to discuss the details, coordinate the process (Cables/fw export/ Loops start).
  • CRL2 in XTD6 - issue with motors losing steps. Will be fixed in the March shutdown. ==> L. Batchelor
  • DAQ is ready. Data sources list has been sent to CAS. Will be also sent to ITDM for implementation.==> Status not clear
  • For the fixing of the mono's Picomotor, XTD6 will be opened tomorrow and on friday during the day. On the evenings the tunnel will be searched and closed again to allow beam in MID.

 

OPT Lasers

  • Modules for the time stamp have to be installed by AE. How long does it take? Will be discussed offiline with PG. ==> Installation dates: SASE1 in summer shutdown,  SASE3 being worked out, SASE2 will follow. Workaround with time stamp is being investigated.

  • Hirex 2 will be shipped from Cologne tomorrow and will be brought into the VAC lab. Cretes ready, cables ready. AE can support local tests outside the shutdown week.

  • Data Correlation issue test between MCP detector and XGM - PG: Workplan has been made. Additional tests needed and have to be planned with beam. ==> Beamtime will be requested by JG.

  • Who is responsible for the bunch pattern recording for the different instruments? CAS will clarify with ITDM and AE. ==> Ongoing.
  • Karabo 2.4.0 test ongoing
  • 2.3.7. Hotfix available today (pipieline in middle layer devices has been optimized). To be decided by the instr. whether to install it or not. Recommended.
  • HED kick off meeting for preparation for users has to happen.
  • XGMs: DOOCS was updated without agreement with CAS and this lead to problems with the controls. In this condition CAS can give only limited support , because they do not know excactly what was deployed and whoch tests were done. In general, this goes against the good practice rule of not updating stuff during the beamtime.

SRP

  • The self rescue training is supposed to become part of the access requirement in the DACHS system for the tunnel. This caused a lot of concerns during the meeting (visitors? Access to components only in the very firrt part of the tunnel ). PSPO will discuss with SRP .==> SRP is trying to find a way to minimize the impact of this training on the XFEL employees. Discussion with DESY needed. ==> The implementation date is the 01.05. The legal requirements are quite strict. SRP is trying to find a solution with DESY (proper training every 3 yrs + yearly updates? to be seen). Advice from SRP is to get the training. SScherz can support booking the trainings.
  • HED Radiation interlock issues: no agreement yet to get beam permission. Another meeting is planned for tomorrow (SRP chairs).==> Solved
  • EUPs: Procedures for the electrical safety trainings and appointments are being clarified (UB, TH, WUS) ==> 2 training per week (in german) are planned for KW 13,14,15. SRP and TS will approach the GLeaders to decide who has to take the trainig first in the different groups. PGessler and SHauff point out that it is not clear whether the policy is olready in place or not. THaas mentioned that we are still in the transition phase and a presentation was given in thre STGL meeting and it was responsibility of the GLs to inform the group members. TH will send AV the material that will be circulated to the readiness mailing list and  in this elog ElectricalSafety.pdf.
  • SArslan has been appointed Safety responsible for the Exp. Hall. Access for XFEL employees will be granted by him from now on and not anymore by AViolante and GWellenreuther

  • FXE is working with the SPB spare beam stop (new concept). XRO is in parallel preparing another beamstop for FXE to comply with the new safety standards. SPB needs to get the beamstop back in April.

  • The chain digitizers-triggers-software is being commissioned to allow online analysis. AE, CAS required and involved.==> Specific issues being addressed.
  • exhaust line for explosive gases has not been tested so far and no information is available to SQS. Urgent. SRP should comment.==> MMeyer is following up the issue. - NO update.

SCS

  • PLCs have been all installed. Firmware deployment has to be pushed. AE is on it.==> Ongoing and high priority. 
  • Commissioning (Smaract/microscope chamber) ongoing.
  • Detector group is working on the fastCCD. Cooling rod has been installed. Cooling is stable. According to DET should be OK.
  • Pulses for SASE3 has been delayed, but it will be no issue for the FastCCD.

MID

  • Issue with the remote control of the ion pumps. It is not possible to switch on and off the pumps remotely due to the fact that a wrong terminal was used . It seems this was also the same issue in SASE1 and 3. AE and EET are on it to fix it and update the doucumentation. ==> AE needs to perform a test at MID before deploying the solution. Since there are other priorities now the test has not happened yet.
  • An automatic chain of communicaton is needed (TS?) to notify relevant peopole when the power is down. ==> UBr will follow up the automatic notification setup.
  • Issue with the silicon oil leaks. Even though the system was testes with LN2 up to 5 bar. For now it is not  a showstopper but it needs to be addressed.

HED

  • Si bounce monochromators - Chiller leaks. Will be repaired in the next shutdown.
  • hirex mono water connections will be reworked in March.
  • Leak in the cooling unit of the racks in A.27 was repaired on site. (TS+External company)

XRO

  • In SASE3 additional safety shutters issue: Hardware will be ready by middle of Feb. On the 24 and 25. the installation and the modification of the EPS loop should take place if D3, SRP agree on the change request proposed by HS and MD. ==> Still no official decision from D3 and SRP. AE would like to get as many info as possible in advance to start preparing the loop update. According to MDommach NJardon is supposed to be already in the loop.
  • M2 in SASE3 is commissioned and being fine tuned by the instruments.
  • There was a DAQ issue concerning the reading of imagers. Should be solved accordina to ITDM, has to be checked and confirmed by XRO.
  • CAS is fixing some issue on the middle layer for the slit gap controls.

  • From SBP/SFX: Currently, it is not clear what to do if one of the Pandoras goes off. This apparently happened @ FXE on the night from Sat.-Sunday, and it took 12 hours to fix it. Update from SRP: Occasionally Pandoras trigger radiation alarms. It is not clear why. One possibility is that this is caused by electronic noise. Discussions with D3 are ongoing. Right now an expert is needed to reboot the system since it is not a simple off/on procedure, but data has to be analysed. There is a a document in preparation by SRP/D3 that will allow more people to be able to perform this procedure, but it is not ready yet. A side note is that there is no OCD agreement in place for these experts and the reboot is done on the best effort level.

  • Turnstile issue: 2 days ago the hall was not accessible for some hours because of non functioning turnstiles. The problem was a change in the desy firewall configuration that lead to the transponders system not working.

  • Loops update has to be coordinated between EEE and FXE. No feedback received from EEE. AG will remind TKorsh. Still pending.

  • BB is coordinating the loops update with SPB/SFX

  • XTD 6 will be closed tomorrow after lunch. CY points out that there is a list of issues to be fixed in XTD6 (e.g. motors not working) and many people in CAS are ill, hence, not available, NJ checks with MS and CY sends the list to EEE.
  • By the end of the week MID should send the requirements for the vacuum interlock to EEE.

HED

  • The monochromator can be cooled down now. The vacuul is still not optimal but the device is operable,.
  • Today loop 3 will be updated.

  • Electrical safety regulation. From the beginning of July the new electrical safety regulation is supposed to be in place. According to this regulation the work at the back of the racks in the XHEXP1 and in the entire racks in the tunnels can only be done by certified EFK (Elektrofachkraefte) or by EUPs with an additional training. The additional training can only be provided after summer. The nomination of XFEL EFKs is suffering a delay due to the fact that is not clear who should nominate them (TS, UBR, HR?).  PG reported the problem and also the fact that no official statements were made in the past concerning the topic. THaas is trying to clarify the status, and come up with a statement and proposal in the Operations meeting. ==> there was no meeting on Friday. Still pending. ==> implementation of the electrical safety regulation has been postponed to the end of the year (mail from SRP).

  • Smaract stages do not work propery and reliably. High priority. Has to be clarified with AE since it is not clear whether this is the same issue that SCS had and for whoch they developed a workaround. ==> BB will contact the Smaract company to address the issue.
  • Epix power issue has been fixed. The problem was a parameter not properly set in the power supply. No interlocks are being used. MID is aware of that.
  • Loop 9, 4 and 12 will be updated with interlocks next week.
  • Exapod control vs data policy issue (also affecting HED and SPB, as well as other components). The exapod control implementation via Beckhoff requires time and is planned for the end of April. For the time being SPB and MID control the exapods via software. This make somewhat difficult to store all the data in the correct way and is not fullfilling the data policy. PSPO will report the issue to TT. At this stage a reshuffling of priorities to speed up the HW implementation seems not to help, since it is anyway planned for end of April.
  • Loop 12 ready next week.

HED

  • Loop 5 being commissioned. Should be completed by today. Loop 7 cables are been reorganized and the commissioning will strat tomorrow. Planned to be completed by the end of the week. Lilla cables between patch panels and components will be asked and discussed with AE.

XRO

  • Commissioning of M1 in SASE3 took place. An intervention concerning a limit switch has to be done (not critical)

  • SASE2 beam permission button is hidden in the vacuum expert panel. It is not the case for SASE1 and 3... To be clarified with VAC, XRO and CAS.

  • A power supply was switched off by AE and found on again the next day despite a sign put on the device. This should not happen. SRP advices, in similar cases, also to add a contact of the person who switched off the device for safety reasons.
  • XS5000 controller in SCS issue. SRP clarifies that everybody must act in case of clear danger (e.g. preventig the access to a particular area). In this case, it was OK that UB and TS prevented the access to the SCS laser hutch to other people before the controller was put in a safe state.  Having said that, the responsibility lies with the scientific group operating the device.

  • Comment from AS: Trigger test with pulse on demand was not succesfull due to missing karabo devices and issues with configuration. For the final fix 10 minutes of beamtine has to be taken from SPB/SFX. This will be agreed with the intrument.

  • Delay servo stages have been commissioned. Right now only one stage is being used.

  • Integration of the photonic science camera is progressing. Status not clear.

AE and EET are on it to fix it and update the doucumentation. ==> MS is doing some test today to see whether the tunnel solution could be implemented in a provisional way.
  • Fa. Schulz did not manage to pull all the MID EXP cables by Tue afternoon as requested. Fine tuning of whoch cables are needed to start the loop commissioning and whoch ones can be postponed has to be done and driven by EET/MID (M. Flade/JHallman) ==> Being finalized.
  • On Monday afternoon (17:00) a power cut caused by works on the SASE emergency power off caused the PLC to be switched off and additioanl efforts to bring them on again. This intervention was not known to MID and not planned in the winter schutdown list of activities. Technical Services is/will be reminded that proper communication is needed.==> Other unexpected power cuts due to MPS works both on Monday and today. The communication has to be improved (via SRP). In addition, also an automatic chain of communicaton has to be set up (TS?) to notify relevant peopole when the power is down.

  • During the installation of mirrors for SASE3 with InGa an issue occured. While pumping down (slowly) foam was generated and it required baking of the system to be able to pump it and bring it to ion pumps vacuum level. Tests are needed to finalize the proper procedure. In general, all the instruments dealing with mirrors should contact XRO (M.Vannoni) for proper venting and pumping down of the system to avoid surprises.

  • Electrical safety regulation. From the beginning of July the new electrical safety regulation is supposed to be in place. According to this regulation the work at the back of the racks in the XHEXP1 and in the entire racks in the tunnels can only be done by certified EFK (Elektrofachkraefte) or by EUPs with an additional training. The additional training can only be provided after summer. The nomination of XFEL EFKs is suffering a delay due to the fact that is not clear who should nominate them (TS, UBR, HR?).  PG reported the problem and also the fact that no official statements were made in the past concerning the topic. THaas is trying to clarify the status, and come up with a statement and proposal in the Operations meeting. ==> there was no meeting on Friday. Still pending.

  • During the maiinenance of the cooling water system the doors of the balcony rooms and racks were left open to cool down the electronics. On Monday Torsten Schoen informed AV that the power went off in MID and HED experiment hutch because of the radiation interlock test. This was due to the fact that according to the original plan (circulated and approved at the beginning of May), the SASE1 test was supposed to happen on Monday and the SASE2 test the day after. On monday, SASE1 system was accordingly bridged to avoid issues with the power. A last minute change in the plan was agreed between MID and MPS but the info unfortunately did not reach Torsten, hence the issue. Also, nobody from SRP, D3, HED was timely informed. 

There was obviously a lack of communication that has to be improved. AV will write a report and circulate it to the involved people for review and provide it to the MB.

  • Commissioning of components ongoing. There is a learinig curve concerning Karabo.
  • Cabling issues and CR are being followed up with high priority by EET
  • A camera is needed in the tunnel to align the spectrometer. Either a webcam or the camera dedicated to the second spectroemeter has to be moved (only temporary - no definitive changes needed). This can be done with a ZZ access on monday. KA is organizing the hardware, CAS and AE will take care of software and evetaually trigger.

  • On monday the HW for the B4C in SA3 will be mounted. and tested. No loop updates concerning the interlock. This will happen in march.
  • GATT loop update for SASE3 planned for Monday

  • A PLC in HED has to be replaced because of some beckhoff license that expired ==> Problem solved replacing the PLC. Whys did this happen is still not clear.

ITDM

DET

  • SCS took data with the fast CCD. Data has to be analyzed but seems ok. ==> Ongoing
  • SPB agipd OK==> Calibration is now running.
  • FXE LPD had issues being followed up

EET

CAS

  • Kickoff meeting with ITDM to start to evaluate InfluxDB, Grafana and Elastic Search as an alternative to the current Karabo DataLogger implementation (LA and VAC represents use cases to be addressed/solved). However, "nothing" will impact operation in the next months.
  • SPB Loop 14 needs to be deployed (Karabo)
